Your supplier relationships are the asset. We treat them that way.

How SpecSync handles your email, your supplier list, and your pricing data — written for the rep who reasonably asks "what happens to my Rolodex if I sign up."

The most valuable thing a flooring rep has is their supplier list and the relationships those names represent. Those relationships took years to build. Putting them into a software tool is a real concern, and any vendor that does not address it directly is hiding something.

Here is what SpecSync does and does not do with your data.

Each supplier sees only what is sent to them. The RFQ that goes to your Shaw rep contains only the line items you are asking Shaw to price. Your Interface rep never sees the Shaw RFQ. Your supplier sees an email from your domain, with your name, that reads like an email you would have written yourself. They reply to you the way they always have.

Your supplier list belongs to you. SpecSync uses your supplier list to send your RFQs. We do not share, sell, or expose your supplier list to other SpecSync customers. If you cancel, you can export your supplier list and bid history at any time.

Email integration is scoped. When you connect Gmail or Outlook, SpecSync reads and sends only the threads it created or threads where it is explicitly invoked. We do not read the rest of your inbox.

Pricing data is not used to train AI. Your bids, your supplier responses, and your pricing patterns are not used to train any shared model. We use isolated processing for each customer's data.

Security questions

Do suppliers see each other in any SpecSync workflow?

No. Each supplier sees only the RFQ sent to them. No supplier ever sees another supplier's response, pricing, or that they were one of several quoted. Your relationships stay one-on-one.

Does SpecSync use my supplier data to train AI models?

No. Your supplier list, supplier pricing, and bid data are never used to train shared models. Your data stays in your account.

Is my email content stored?

Only the RFQ threads SpecSync processes. We do not read or store the rest of your inbox. The email integration is scoped to threads SpecSync sends or receives.

What encryption do you use?

TLS 1.3 in transit, AES-256 at rest. Standard for modern SaaS.

Where is my data hosted?

US-based cloud infrastructure. Specifics on the contact page on request.

Are you SOC 2 compliant?

SOC 2 Type I is in progress. Type II expected within 12 months. Enterprise buyers can request the current security overview by email.
